Owner Onboarding Pipeline

The Owner Onboarding Pipeline is a structured process designed to efficiently guide property managers through the various stages involved in onboarding a new property.

Purpose: The primary purpose of the Owner Onboarding Pipeline is to streamline and simplify the process of bringing new property owners into the management system. By breaking down the onboarding process into distinct stages, property managers can effectively track progress, assign responsibilities, and ensure that no crucial steps are overlooked. This standardized approach also helps in maintaining consistency across different properties and ensures a positive experience for both property owners and managers.

Stages of the Owner Onboarding Pipeline:

Will the user assigned from the Sales Pipeline be the same assigned user during the Onboarding Process? If the answer is yes, nothing else will need to happen. If the answer is no, if needs to be a different user or maybe a different user per stage, then the automations will need to be updated to include this step. Add an Assigned User to a Workflow

  1. Welcome Package:

    • At this stage, the property manager extends a warm welcome to the new owner and provides them with any additional essential documents and information about the management services. 
  2. Owner Team Assignment:

    • Assigning a dedicated team member to handle the onboarding process for the new owner. This individual will serve as the main point of contact and will coordinate all activities throughout the onboarding process.
  3. Photography:

    • High-quality photographs are crucial for creating attractive listings. This stage involves scheduling a professional photoshoot of the property to showcase its best features and enhance its online appeal.
  4. Online Listing:

    • Once the photography is complete, create an online listing for the property. This stage involves writing compelling descriptions, setting competitive pricing, and optimizing the listing for maximum visibility.
  5. Accounting:

    • Managing finances is a critical aspect of property management. In this stage, the property manager ensures that all financial arrangements, such as rent collection methods, security deposits, and fee structures, are properly set up and communicated to the owner.
  6. Owner Portal Info:

    • Providing the owner with access to an online portal where they can view important information and track the performance of their property. This portal may include features such as financial reports, maintenance requests, and communication logs.
  7. Owner Live:

    • The final stage involves activating the property owner's account and officially transitioning the property into the management system. At this point, the owner has full access to all relevant information and resources, and the property is ready to be managed effectively.
