By automating these steps within the welcome packet workflow, you can streamline the onboarding processes, foster positive relationships, and optimize resource utilization for enhanced efficiency and owner satisfaction.

Step 1: Assigning Main Point of Contact

Upon completion of a signed contract in the Sales Pipeline, the initial step in the Welcome Packet workflow automation involves assigning a main point of contact. This step ensures that if the designated main point of contact needs to be different from the original assigned user, an option is provided to facilitate this adjustment seamlessly.

  1. Assessing Main Point of Contact Needs: Evaluate whether the assigned user from the sales pipeline should also serve as the main point of contact for the newly acquired owner. 

  2. Option Assignment: If a different main point of contact is needed than the original assigned user select the + sign below the first existing Wait step. Find "Assign to User" in the list of actions and select the user(s) for the system to automatically reassign the contact. 

  3. Wait Period: Following the "Assign to User" step initiate a one-minute wait period to allow for any necessary adjustments or confirmations when being processed automatically. 


Step 2: Sending Welcome Email to Newly Signed Owner

  1. Email Customization: A generic welcome email addressed to the newly signed owner has been added automatically to the system, please take the time to customize it as needed. This email serves as a warm introduction, expressing gratitude for their partnership and outlining essential details.

  2. Inclusion of Documents and Policies: Attach any pertinent documents, policies, or instructions relevant to the onboarding process. These may include welcome guides, service agreements, or introductory materials tailored to the client's specific needs.


Step 3: Notifying Assigned User of Contract Signing

  1. Email Notification: A generic email will send a notification to the assigned user of the contact, informing them that a contract has been signed.

  2. Customization for Relevance: Tailor the email content to provide the assigned user with the necessary information for their next steps.


Step 4: Reminder for Sending Gift to Newly Signed Owners

  1. Task Creation: A task will automatically assign to the Assigned User as a reminder prompting the team to send a welcome gift to the newly signed owners.

Any extra steps needed or existing steps not needed can be modified directly in the workflow using the + sign between each step to add or trash can icon to delete once in the specific step.

The Owner Onboarding Pipeline and Automations should be customized to fit your specific needs.
