Conditional Owner Contracts

Create a conditional automation which only notifies your team once all multiple contracts are signed

Updated: March 05, 2025

Use Case

This setup is to be used if you're looking to perform a certain action ONLY after every contract sent to a recipient is completed. For example, if you want to send a welcome email only after your contact signs their Onboarding Agreement as well as their W-9  template.

Creating the workflow

  1. Create the trigger
    1. Select "Documents & Contracts" and add filters as follows:
      1. Status - is - Signed/Accepted
      2. Document Type - is - Proposal
      3. Template - is - Select the desired template
    2. CAD - 1
  2. Continue to add any additional templates or contracts that need to be signed before proceeding to the next step in the automation process, repeating this action as many times as needed.
  3. Now, insert a condition (if/else) step
    1. In the branches section select:
      1. Template - is - Template 1
      2. Template - is - Template 2
    2. The "None Branch" can be adjusted to a certain action you'd like to take if the signed conditions made in Step 2 are not met. For example, you could add the manual call action to reach out to the recipient.
    3. CAD - 2
  4. Once the conditions are met, you can set up whichever next step you'd like to take once all contracts are signed.
    1. For the below example, we've assigned the contact to a particular user as well as created an internal notification.
    2. CAD - 3

If you have already established contract notifications, this automation will not interfere with them. Instead, incorporating an internal notification, as shown, will provide an additional alert confirming that all documents have been signed.
