Responding to cold emails and managing CRM statuses, specifically focusing on the Lost, Abandoned and when to Delete


How to Reply to a Cold Email: 

  1. Locate the contact under Conversations.
  2. Create new email thread - Cold Email Campaigns are not sent from within the CRM and instead imported in when a reply accures so you have to start a new thread. The Repy button will NOT allow you to send an email.
  3. Subject Line Clarity - Craft a clear and concise subject line that reflects the purpose of your new thread. This helps toquickly identify and categorize the communication. Consider including keywords related to the conversation to enhance searchability.

    Example: Subject: RE: [Original Cold Email Subject]
  4. Acknowledge Previous Communication In the body of your new email, briefly acknowledge the previous communication to provide context and ensure continuity. This helps the recipient understand the relationship between the new and existing threads.

Lead Status:

Make sure to update the status of all contacts whether you respond to the lead or not. Effectively responding to cold emails goes hand in hand with strategic CRM management. By utilizing the different statuses, you can optimize your sales processes, learn from past interactions, and nurture relationships over the long term. Consistent implementation of these best practices will contribute to a more organized and successful sales approach.

  1. Lost Status: The Lost status is best for deals that you qualified as a good fit, but you weren't able to win them. Be sure to update the notes into why the owner chose not to sign up. You can look back at this status for win back campaigns at a later date.
  2. Abandoned Status: Abandoned is for deals you disqualify that are not a good fit. Maybe the owner's place is too far outside your service area or it's not up to the standard you have. Deals dropped into Abandoned you'll not want to look back on. If you lose contact with a lead, put them in long term nurture until they respond.
  3. Delete: If it's a test, auto responder or if it's a cold email response that is not interested as a first interaction

Long-Term Nurture: When contact is lost with a potential lead, placing them in the Long-Term Nurture status ensures that you stay on their radar without being overly intrusive. This stage is ideal for leads who could still become valuable owners in the future. The automated drip emails to keep them engaged until they are ready to re-engage with your offerings.
