Need a new point of contact assigned to your leads? Use a workflow to quickly do so!
Updated: October 22, 2024
1. Create the workflow
- Create a workflow to reassign contacts
- Navigate to Automation > Create Workflow > Start from scratch
- Create the workflow as depicted in the image below. Be sure to create a unique tag that will be used to identify the contacts you're looking to reassign to the new user.
- Add the "Assign to User" action item as the second step in the workflow and select the desired user that the contacts should be assigned to.
- Be sure to Save and Publish the workflow
2. Create Contact Tag and Smart List
- Navigate to Contacts > Filters > Assigned > To > Select the user the currently assigned to the contacts you would like to reassign.
- Once the contact list has been filtered, you are now seeing a list of all the contacts assigned to the specific user. Be sure to select All contacts in the list.
- Add the SAME unique tag that was created in step 1 during the workflow setup. The tag is what will trigger the automation to begin and reassign the contacts to the selected user in the workflow. The automation will NOT trigger if the tags are different.
3. Confirm Enrollment
- Navigate back to the newly create automation and review the Enrollment tab to verify the contacts that have now been reassigned to the new user.
4. Remove the Unique Tag
- Navigate back to Contacts > Filters > Tag > Is > The unique tag you created in step 1
- Select ALL contacts and use the "Remove Tag" option
- Select the Unique tag and confirm.
Once your contacts have been reassigned, you can go to Settings > My Staff. Find the User you wish to remove and click on the trash can icon to the right of their name. They will be removed from the Vintory account.
Make sure any contacts assigned to the original user are reassigned before you remove the user.
If you have previously used this workflow before and are making changes to it to re-assign contacts again, you will need to turn the "Allow Re-entry" setting on within the workflow.
