Accessing Appointment Reporting

 

The Appointment Report page offers a comprehensive view of your appointment data, allowing you to easily track and analyze various metrics. You can access this report through the left-hand menu under "Reporting" > "Appointment Report" (top menu). 

Here’s a breakdown of the key features and insights you can access:

  • Numeric Charts for Different Statuses:  Quickly see the count of appointments categorized by status, including booked, confirmed, cancelled, new, and more.

  • Appointment Sources and Channels: Get a detailed split of appointments based on different channels and sources, including funnels and users.

  • Top Performing Calendars: Identify your top-performing calendars by the number of bookings, helping you understand which calendars are most popular.

  • Top 5 Users by Number of Appointments: Discover which users are securing the most appointments, allowing you to recognize and reward high performers.

  • Most Popular Days: Find out which days of the week receive the most appointments, so you can optimize your scheduling and resource allocation.

  • Top 5 Calendars with Cancellations: Track the calendars with the highest number of cancellations to identify potential issues and improve retention


Understanding Appointment Data

  1. Appointment Metrics: After setting your filters, you can view key metrics related to the appointments within the selected time frame, such as:

    • Confirmed Appointments: Number of appointments that were confirmed.
    • Showed Appointments: Number of appointments where the leads actually attended.
    • No-Showed Appointments: Number of appointments where the leads did not attend.
  2. Visual Representations: The dashboard provides visual graphs and charts to help you understand the data better, including:

    • Appointment Booking Channels: Shows the channels through which appointments were booked, such as:
      • Lead through a Funnel: Appointments made by leads coming through a sales or marketing funnel.
      • User Bookings: Appointments made directly by users.

3. Source Report: You can toggle between different sources to see where the appointments are coming from, such as:


    • Users: Which users booked the appointments.
    • Funnels: Which funnels generated the appointments.

4. Detailed Appointment List

  • Appointment List: Below the visual reports, you will find a detailed list of all appointments that match your filter criteria. This list includes important information about each appointment.
  • Toggle Appointment Status: You can filter the list further by toggling between different appointment statuses.
  • Export Data: The list can be exported for further analysis or record-keeping.
  • Customize Columns: Choose the layout of the columns to display the data in a way that suits your needs visually.

This report will only be as accurate as the contact itself, if you are not updating their appointment statuses (confirmed, cancelled, no-showed) then this report will not render accurate results.
