Q: What is Agent Outreach?

A: Agent Outreach is Vintory’s solution for automated real estate listing outreach. Our automation sends an email to the realtor based on “just listed” or “just sold” properties. Adjust your filters to target specific properties you want in your program, and our tool works on cruise control. No MLS connection is required.

 

Q: How does it work? 

A: Agent Outreach links with public listing sites, like Realtor.com, to source listing transaction information. It matches the agent’s name against Vintory’s internal database of millions of agents’ contact information. If there’s a match, the contact gets sent to the CRM and enrolled in a workflow. 

 

Q: Where do you get the listings from? 

A: The listings come from public sources such as Realtor.com.

     

What filters can I use to set my search criteria?

Q: How do you source realtor contact information? 

A: Vintory sources realtor contact info from publicly available sources including associations, MLS, licensing boards, government databases, etc. 

 

Q: Do I need MLS Access? 

A: No, you do not need access to the MLS to use Agent Outreach

 

Q: Does Agent Outreach Connect directly to the MLS? 

A: No, Agent Outreach does not connect directly to the MLS. It relies on scraped information from listing sites 

 

Q: I saw a new listing go up / close why did Agent Outreach not send a message? 

A: Unfortunately, we are not able to get a match for every listing. Sometimes we do not have the email for the agent or the buyer’s agent is not publicly listed when the sale is closed. 

 

Q: What triggers the outreach? 

A: When a listing is posted, our system triggers a “just listed” workflow which will automate the outreach to a listing agent. When a listing is marked as sold, our system initiates a “just sold” workflow which automates outreach to the buyer’s agent. 

 

Q: Can I exclude certain areas? 

A: Yes, you may exclude certain geographical areas from your search using polygons. This is useful for excluding HOA communities or certain zoning areas. 

 

Q: Can I exclude certain addresses? 

A: If there is a certain condo complex you’d like to include or exclude, this is possible through the workflow in the CRM using the “site address contains (or does not contain)” function. 

 

Q: Can I exclude certain agents or brokerages? 

A: Yes similar to excluding addresses, we can exclude email addresses or domains in email addresses. 

 

Q: How do I know if a Realtor Responds?

A: You will have a special pipeline in your crm to keep track of all of the messages that go out and their responses. You will also receive a email notification (or push notification if you elect) when a realtor responds. 

 

Q: Are there any tasks set up to do a second touch point if the realtor does not respond to the initial email? 

A: By default, only one email goes out to an agent per listing. The workflow in the CRM is completely customizable and your account manager can help you set it up to be exactly how you’d like it with different actions and notifications.  

 

Q: Can I customize the message sent to agents? 

A: Absolutely and we encourage you to do so. We have a standard message that is proven to work in a variety of markets but feel free to update it to reflect your own voice. 

 

Q: What happens if an agent has multiple listings in a short period of time, will I send the same message to them? 

A: By default, we wait 30 days to contact an agent again. For example, if an agent lists a property, and then another one in a week. The agent will only receive a message about the first property listed and not the one in a week. The contact period is customizable so feel free to discuss with your account manager.

A: Yes, all users have the flexibility to customize email templates and workflows to suit their specific requirements, ensuring seamless integration with their existing processes.

 

Q: What is the maximum amount of zipcodes can we add in Agent Outreach tool?

A:  The maximum amount is 10 zipcodes.

 

Q: Can I export a list of real estate agents?

A: No, Realtor Agent Data is not downloadable and is to be used for Marketing Options within Vintory Platform/Services only.
